Audit reports
Audit reports are spreadsheets that provide data on all the actions taken with regard to a document or group of documents published to investors. You can use this data to track the history and use of your documents. There are two types of audit reports that can be generated:
Published documents audit report
Documents accessed audit report
Published documents audit report
The Published documents audit report for documents with single files is divided into the three following sheets which provide information on documents you published:
Summary – general details about the publication and the audit report itself.
Event Log – a list of changes made to documents in the publication in reverse chronological order and details about the initial publication and any subsequent republications.
Portal Delivery - Publishing – details about the publication, its recipients, when the publication was accessed by a recipient, and any notifications sent to recipients.
Published File Audit Log – information on the files successfully published in the publication and a list of changes made to documents in the publication in reverse chronological order.
Documents accessed audit report
The Documents accessed audit report is divided into the three following sections:
Report Summary - details of the audit, who commissioned the report, when it was generated, and the number of Mass Publishing and Regular Publishing in the report.
Files Accessed - details of investors and details of the documents and files that have been accessed including the date and time it was accessed
Files not Accessed - details of investors and details of the documents and files that have not been accessed yet.
How to get an audit report
You can generate an audit report for a document by following these steps:
Select the Options menu icon ( ⠇) on the right-hand side of a document
Select Download audit report in the menu that appears
You can also generate an audit report for all the documents displayed on your Published Documents page (according to your filter settings) by clicking the Get Audit Reports button in the title bar. The audit report this creates is a .zip file that may contain multiple spreadsheets to accommodate the number of documents displayed in the list.
Finally, you can also generate audit reports for documents published to specific investors by doing the following:
Select the Page Options button () on the top right-hand side of the page
Select Get Audit Reports For… in the menu that appears
Enter investors' names or email addresses in the designated area or click All Investors in the modal that appears
Select the Generate button at the bottom of the modal
Select the Download button that appears when the modal is finished generating the report
